Qiagen
Invoice solution made fit for the
future

Qiagen, headquartered in the Netherlands, is a biotech company specializing in molecular diagnostics. The company recorded sales of over 2 billion dollars in 2022 and has around 500,000 medical and scientific customers in more than 25 countries. At Qiagen, the aim was to accurately document the existing applications and configurations to facilitate future adaptations in individual countries.

The challenge

Qiagen had already implemented a solution for automating incoming invoices. It was able to centrally manage documents from the EU, the USA, and some other markets, reduce the time-consuming workflows in accounts payable, and improve process quality. However, further rollouts and necessary changes had an increasing impact on the efficiency of the solution. Further development was made increasingly difficult by the incomplete documentation. Another particular challenge was that all changes had to be implemented during ongoing operations.

Our services

  • Checking and documenting the current system configuration and all previous changes
  • Implementing the new requirements in the existing system
  • Establishing best practices for future adaptations and rollouts
  • Increased efficiency through parallel workflows for different cost centers
  • Reduce the time required for invoice approvals
  • Automate the posting of invoices without a purchase order reference according to defined criteria
  • Introduction of the CFDI-E invoice standard in Japan, Korea, China, Hong Kong, and Mexico (including support for the CFDI-E invoice standard)

Result: A solution with multiple effects

Qiagen is now equipped for the future. The company finally has complete documentation of the system as well as clearly defined best practices and standards for updates, changes, and rollouts. This means that the solution can be rolled out to other countries in a shorter period without having to interrupt work. In addition to the immediate savings effects, future adaptations or extensions can also be implemented quickly and cost-effectively.
